This policy explains what personal information Eagles Agency collects, why, and what your rights are. We have kept it short and specific to how this website and business actually work.
Who we are
Eagles Agency is a trading name of Bradley Taylor, a sole trader based in Coventry, United Kingdom. Bradley Taylor is the data controller for the personal information described in this policy.
If you have any questions about this policy or your information, email sales@eaglesagency.co.uk.
What we collect
When you use the contact form
- Your name and email address
- Your phone number and current website, if you choose to give them
- Your message
Enquiries are stored securely in our website and sent to our business email inbox.
When you email us or become a client
- Your name, business name and contact details
- Billing details needed for invoices, such as your business address
- Information you share with us about your project
When you visit the website
- Our hosting provider keeps standard server logs, which include your IP address, browser type and the pages requested. These are used for security and to keep the website running.
- To stop the contact form being abused, we temporarily record a scrambled version of your IP address for one hour after you send a message.
- We do not use analytics, advertising or tracking cookies.
Spam protection: Google reCAPTCHA
The contact form is protected by Google reCAPTCHA v3, which checks that messages come from people rather than automated bots. reCAPTCHA only loads once you start filling in the form. It collects information such as your IP address, browser details and how you interact with the page, sends it to Google, and may set a cookie for this purpose. Google’s Privacy Policy and Terms of Service apply.
Payments
Clients pay invoices through Stripe. Payments are made on Stripe’s own secure pages, not on this website, and we never see or store your full card details. Stripe processes your payment information under its own Privacy Policy. We receive a record of the payment, such as the amount, date and the name on the invoice.
How we use your information, and our legal basis
Under UK data protection law we must have a lawful basis for using your information. Ours are:
- Replying to your enquiry and preparing a quote: taking steps at your request before entering into a contract, or our legitimate interest in responding to people who contact us.
- Delivering your project and invoicing you: performing our contract with you.
- Keeping financial and tax records: complying with our legal obligations.
- Protecting the website and contact form from spam and misuse: our legitimate interest in keeping the website secure.
We will not send you marketing emails unless you have asked us to. We never sell or rent your personal information.
Who we share it with
We only share your information with the service providers we need to run the business:
- Krystal Hosting: hosts this website and our email, in the UK.
- Google: provides reCAPTCHA spam protection on the contact form.
- Stripe: processes client payments.
- An accountant or HMRC: where needed for tax and accounting.
We may also share information if the law requires us to.
International transfers
Google and Stripe may process information outside the UK, including in the United States. Where this happens, it is protected by safeguards recognised under UK law, such as the UK–US data bridge or approved contract terms.
How long we keep it
- Enquiries that do not lead to a project: 12 months, then deleted.
- Client contact and project information: for as long as we work together, and up to 2 years after our last contact.
- Invoices and financial records: 7 years, as required for tax purposes.
- Contact form spam check: the scrambled IP record is deleted automatically after one hour.
Keeping it secure
This website uses HTTPS encryption, and access to personal information is limited to Bradley Taylor. No method of storing or sending information online is completely secure, but we take reasonable steps to protect it.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to limit how we use your information
- object to us using your information
- ask for your information in a format you can take elsewhere
To use any of these rights, email sales@eaglesagency.co.uk. It is free, and we will reply within one month. Some information, such as invoices, may need to be kept for legal reasons even if you ask us to delete it.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Children
Our services are for businesses and are not aimed at children under 16. We do not knowingly collect information from children.
Changes to this policy
We may update this policy if the way we handle personal information changes. The date at the top shows when it was last updated.
